What we collect and why
| What | What it includes | Why we use it |
|---|---|---|
| Waste scorecard | First name, email, firm name, practice area, firm size, your answers, your biggest frustration, and the scores and waste figures we calculate from them. | To produce and email your report, and to send a short email series about your results. |
| Phone number (optional) | A phone number, only if you choose to give one. | To arrange a call to review your results with you. |
| Waste calculator (no longer offered) | Your inputs (practice area, inquiry volume, case value, response time and similar), your name, email, and phone if you give one. | Held only from people who used it before it was retired in September 2026. Deleted on the schedule below. |
| Bookings | The name, email and any notes you enter when you book a call through our Google Calendar booking page. | To hold the meeting and prepare for it. |
| Analytics and advertising cookies | Pages visited, device and browser type, approximate location, and how you arrived, collected by Google Analytics 4 and the LinkedIn Insight Tag. | To understand how the site is used, and to measure and target our LinkedIn advertising. |
We rely on your consent when you submit a form, and on our legitimate interest in running and measuring the site for analytics. You can withdraw consent at any time (see Your rights).
Who processes it for us
We use a small number of service providers to store, move and send your information. They handle it on our behalf and only for the purposes above.
- Google: Sheets and Drive (storing scorecard results and reports), Gmail (sending email), Analytics (site measurement), and Calendar (bookings).
- LinkedIn: the Insight Tag, for advertising measurement.
- Supabase: database storage.
- Substack: the weekly newsletter, only if you subscribe to it yourself on Substack. We never add you to it.
- Cloudflare: website hosting.
- html2pdf.app: turns your scorecard report into the PDF we email you. It receives the report, including your name, firm and results.
- Telegram: sends us an internal alert when someone completes the scorecard, with their name, firm, email and score.
- n8n: our own automation server, self-hosted on a rented virtual private server, which moves form submissions between these services.
Some of these providers store data outside Barbados, including in the United States and the European Union.
What we never do
We never sell your data. We do not rent it or trade it either.
Our Operations X-Ray engagements never collect your clients' data. We measure how work moves through your firm, not what is in your client files.
How long we keep it
- Scorecard, calculator and booking details are kept while the email series runs and for up to 24 months after our last contact with you, then deleted.
- Operations X-Ray working data (the counts and timings you give us) is deleted within 14 days of delivering your plan, as set out in the confidentiality agreement we sign with you.
- Analytics data is kept according to Google's and LinkedIn's retention settings.
Your rights
You can ask us to:
- show you the personal information we hold about you;
- correct anything that is wrong;
- delete it;
- stop emailing you, or withdraw any consent you gave. Every email has an unsubscribe link.
These rights come from the Barbados Data Protection Act, 2019. If you are in the EU or UK, you also have rights under the GDPR and UK GDPR, including the right to complain to your local data protection authority. If you live in a US state with a privacy law, you have the rights that law gives you.
To make a request, email jared@modernus.io. We will reply within 30 days.
Cookies
Google Analytics 4 and the LinkedIn Insight Tag set cookies in your browser. We do not show a cookie banner. You can block or remove these cookies at any time:
- Block or clear cookies in your browser settings.
- Install the Google Analytics opt-out browser add-on.
- Turn off ad personalisation in your LinkedIn advertising settings.
Blocking these cookies does not stop the scorecard from working.
Changes to this policy
If we change this policy, we will update it here and change the date at the top. If a change is significant, we will tell people on our email list.
